The Hand-It-Off Audit: Find What AI Should Do For You
Free guide by AI with Zana · For anyone who feels "too busy to learn AI" · 25 minutes
The question isn't "What can AI do?" (the answer is "a lot" and that doesn't help). The better question is "Which of MY tasks should AI take?" This audit takes one normal week and sorts every task into three piles.
The 3 piles
| Pile | Meaning | Examples |
|---|---|---|
| 🟢 Hand it off | AI can do most of it; you just check | First drafts of emails, meal plans, summarising long documents, social captions |
| 🟡 Do it together | AI speeds you up, but your judgment matters | Pricing, ad strategy, hard conversations, client proposals |
| 🔴 Keep it | Needs you: relationships, taste, trust | Calls with key clients, final creative decisions, your kids' bedtime story (ok, maybe AI can help with that one) |
Step 1: List your week (10 min)
Write down everything you did last week that took more than 15 minutes. Work and home. Don't filter. Or paste your calendar and to-do list.
Step 2: Let AI interview and sort (10 min)
Help me find which of my tasks AI should take over.
Here's what my week looks like: [paste list]
For each task, ask me (one at a time, max 8 questions total) anything you
need to know, like how often it happens, how long it takes, and how much
it depends on my personal judgment.
Then sort every task into:
- HAND IT OFF (AI does 80%+, I review)
- DO IT TOGETHER (AI assists, I decide)
- KEEP IT (stays human)
Finally, show the top 3 "hand it off" tasks by hours saved per month,
with the exact prompt or setup I need to start each one this week.
Step 3: Start with one (5 min)
Pick the most boring, most repetitive task from the green pile. Not the most exciting one. Run it with AI every time it comes up for two weeks. Save the prompt that works.
Signs a task belongs in the green pile
- You do it every week, the same way
- It's mostly writing, sorting, summarising or planning
- A mistake is easy to spot and cheap to fix
- You dread it
Signs it should stay red
- The value comes from you being there
- A mistake would hurt someone or cost real money
- You enjoy it (yes, that's a valid reason)
Track your wins
Keep a note: task, minutes before, minutes after. After a month you'll have real proof of the time you won back, and a clear idea of what to automate next.
